AI assistant
Ask in plain language. It searches, reads, tags and files.
An assistant that works inside the workspace you are already using — with the same permissions, the same approval rules and the same audit trail as any other user.
Capabilities
Six things it does every day
No separate AI console — the assistant sits in the workspace menu and acts on the live library.
Searches the real library
“Find approved marketing images from last spring” becomes a live query across titles, filenames, descriptions, tags, departments and status. It returns the assets that actually exist, never invented ones.
Reads text inside files
OCR pulls the printed words out of photos, posters and PDFs. Ask for it to be saved and the text lands in the asset description, where search can reach it.
Tags, titles and describes
It proposes tags, titles, descriptions and departments from what it sees, then writes them to the record — keeping the tags you already have unless you say otherwise.
Files into collections
Ask it to sort recent athletics photos into the right collection and it moves them, so the library stays organised without hand-dragging every file.
Assesses and reports
Request a health check and it lists what still needs attention: untagged assets, missing departments or descriptions, unfiled items and anything waiting on approval.
Stays inside your permissions
Every AI action runs as you, with your token. Role rules, locked assets, classification and the approval workflow all still apply — plus each metadata change is written to the audit log.
How a request runs
Ask, review, confirm — then it acts
- 01
You ask
In any language, in plain words — no query syntax.
- 02
It looks
It calls the library: search, asset details, OCR, collections.
- 03
It proposes
For more than three assets it summarises the change and waits.
- 04
It applies
With your go-ahead it writes the change and logs it in the audit trail.
Example prompts
What people actually type
The assistant is available in the live workspace, where your own uploads are stored. The guided demo runs on fictional sample data in your browser, so the assistant is not connected there.
Boundaries
What the assistant cannot do
See past your access
It queries the library as you. Assets your role cannot open are invisible to it too.
Edit what is locked or protected
Locked assets, classification rules and the approval workflow are enforced in the database, not by a prompt — so the assistant cannot override them.
Make bulk changes silently
Anything touching more than three assets is summarised first and only runs once you confirm.
Invent results
It is instructed to read real records through its tools and to report errors plainly, including permission denials.
